Assistant Project Administrator
We are looking for a full-time Assistant Project Administrator to support a busy construction office in London. This is an excellent opportunity for someone with strong organisational skills and an interest in construction administration to develop within a growing and fast paced business. You will work closely with the Project Administrators, Office Manager and site teams to support the smooth running of day-to-day operations and project administration.
The business is based in Kensington, London, specialising in commercial interior fit-outs and refurbishments. They deliver high-quality, deadline-driven projects across the commercial sector, including Offices, Education and Healthcare.
Role Purpose:
Provide day-to-day administrative support to the project and commercial teams, assisting with procurement, compliance, document control and general project coordination to ensure projects run efficiently and accurately.
Key Responsibilities:

Assist with issuing purchase orders and tracking supplier quotations

Support the maintenance of accurate supplier, subcontractor and project records

Help coordinate site documentation, delivery schedules and project correspondence

Liaise with suppliers and subcontractors regarding deliveries, documentation and general queries

Upload and maintain project documentation including RFIs, drawings, submittals and site records within Procore

Assist with monitoring subcontractor compliance and site inductions using 1Breadcrumb

Maintain organised digital filing systems and ensure documents are up to date

Support project teams with delivery and invoicing queries

Monitor project inboxes and distribute correspondence appropriately

Assist with preparing H&S files, O&M manuals and project close-out documentation

Track variations, delivery notes and general project administration tasks

Provide general administrative support to Project Managers and the wider site teams

Ensure all documentation is completed accurately and within project deadlines
Skills / Experience:

Previous administrative experience within construction or a fast paced environment preferred

Strong organisational and multitasking abilities

Excellent attention to detail and accuracy

Strong verbal and written communication skills

Positive, proactive and team-oriented attitude

Proficient in Microsoft Office 365 (Excel, Word, Outlook)
